All I can say is make sure to get a receipt, and an itemized one is best...(to split the tab correctly). I scanned them into my PC and made a detailed .pdf of both the receipts and the itemized bills in excel, combine it all in Adobe Acrobat 8 Pro and email them off. It does help with banking miles!
Sounds like a lot of work... Last time I went with friends and paid for gas and some hotels and some meals, and my friends paid at other times, we simply put everything down on a piece of paper which I gave to them after the trip. They calculated how much every one owned or had credit and wired the amount they came up with to me. I guess, if I have to see all the receipts I shouldn't go on vacation with them in the first place.
