Most likely your hosts have chosen Okura more for prestige than for convenience. For many (older) Japanese, Okura, Palace, Imperial Hotels are considered to be the most prestigious hotels. By putting up a foreigner/westerner there it "saves face" for your hosts, not necessarily between you and them, but perhaps between your hosts and your appointments... complicated??
