The BA company secretarial people are very helpful and will talk you thorugh it if you call them or email them. I dealt with it all by email and they were happy to accept an email from the nominees confirming that I held the share.

For the next year, I transferred the shares into my own name to save having to repet the hassle. Otherwise this is an anuual issue.
