I think the cutoff is fairly simple, check the system your airline is using before your flight, if it's not a clear cut you're allowed to fly (or such as the case here, it clearly indicate you aren't allowed to fly), bring relevant documentation, otherwise not needed.
I also had a quick look at KL website, looks like you can't even select a "Temporary Passport" when adding a document which probably explains why OLCI went smoothly given you can only choose between Passport/ID Card/Visa.

While very surreal that sounds about right, it sounds like the agent might have been overzealous to resolve the overbooking problem of the AMS-EZE flight.
I would say it's a bit odd both OP and his GF didn't have a card they could use for payment and therefore had to ask the pax behind them and all of that 15 min before bag drop cut-off definitely didn't help their cause but also not an excuse for the behavior of the agent.
