The passenger earns the Avios/TPs - not the person/organisation that pays for the flight.

You can provide your number upon booking, or at checkin. I would ask your employer/travel agent to give you the reference number, or PNR, and add you EC number online at ba.com or over the phone. You will be able to track your booking, choose seats, checkin online etc.
