Another thing for the OP to keep in mind is many hotels have senior rates. Which are variously defined in terms of age (62 or 65) - AARP membership (open to anyone over 50) - etc. - etc. So if the employee is a senior - the OP may be able to save some money over the lowest available rate for non-seniors.
