Question for the forum...can this be done? Am I barking up the wrong tree? Do I need to go stay there and ask personally? I have never done this before and am not sure how to handle so thought I would ask the experts!

The requirement for a negotiated rate would vary from property to property also. I know the property I worked at required a minimum of 100 nights before we would do an actual "negotiated rate" with a discount. The amount of the discount then depended on the actual number of room nights each client was promising.
