Personally, I would just book all the rooms under your name and account# and sort out who is where when you check in (it is possible all rooms will be upgraded, but don't get upset if they aren't). When I'm travelling with others and I've made all the arrangements, I tour the rooms before choosing mine. East/West, Pool/Road views, and of course, suite/club room are all considered. I do not take the FDCs comments as gospel as I doubt many ever see the inside of a room where they work, let alone know every room.
On the first trip where you are splitting properties, there is a good chance you will get credit for both stays/nights since I doubt they will cross check properties (yes, the T&Cs say no, but ...). And, if they do, claim the more expensive room as yours to max the points.
For the second trip, if the front desk insists splitting off one room (only two rooms on one folio), it's the award room to separate. Also, give everyone charging priviledges to your room, again to max the points.
