I book travel for a bunch of people. Some are elite and exempt from bag fees, some are not. It's like saying "for your field trip, Don't forget to bring your lunch money" to my travelers. I typically tell them to bring 15 bucks with them when they go to the airport, and if that's not possible, to see me and I will get them a travel advance.

How do other companies/groups handle the bag fee payment? advance it to the traveler? reimburse it later? its a pain in the butt because some airlines dont give receipts for this.
