I'm definitely interested, but need dates reasonably in advance to commit... I am not sure if I am hoping for it to happen while I am in Japan or if I'll use that as a pretext to head to Tokyo...

You should be fine until Golden Week at the end of April / beginning of May. Forgive my ignorance, but does Easter make it more difficult for folks to make it to Japan (as opposed to the preceding/following weekend)?
