Call and get this done by phone. Do not use email. You need to have a very clear conversation about exactly what you want, how you want to pay and whether what you want is available at all.
It is also helpful to have the conversation because if exactly what you want cannot be done, perhaps there is something else which could meet your needs. You will only learn that in a conversation.
Once everything is done, if it can be done, it is fair to ask the GM / Front Desk Manager to send you an email confirming the new arrangement, but this is exactly the sort of arrangement which benefits from a direct conversation.
