Virgin Atlantic Flying Club - Downgraded from Premium Economy to Economy

Hi
we were downgraded from Premium economy to economy, from our flight from Newark to London Heathrow.
While we have been credited 30,000 miles each for the same (voucher given at airport), we are having problem getting our refund for the fare difference. The Virgin office says that we should have been issued some documents showing how much is to be refunded and thus they cant help us.

Help me guys and tell me what should be done.

Sounds like administrative error.

Firstly I'd suggest emailing Virgin Customer Services with all the applicable information - names of passengers, flight, date, your Virgin reference number etc. They should be able to check the records and see what had happened.

If you don't get an acceptable response to that within 14 days or so, I'd suggest sending a letter to the local Virgin office with all the information in.

Keep your original tickets / documentation / boarding pass / credit card statement as proof of your original fare, photocopy and send the photocopies of these in with the letter. That kind of thing.

And if that fails, you have the recourse of complaining to the Air Transport Users Council and/or launching a small claims court action to reclaim the money, since the EU directive states that it must be paid. Small claims is more likely to get a positive response than the ATC.
