Howdy HH Board,

I have a situation that happened to me today with HH and wanted to pass it along to others so that the same mistake would not occur again. :-:

Like a lot of you, I drank from the cornucopia of Q3FN’s in the 2010 Q2 promo to the tune of 6 certs. These things are awesome (Maybe we could have another promo with these? Like soon? :D) and I used the first set at the Casa Marina in Key West over Turkey Day Weekend. In January, I was coming back from Germany and Austria through Amsterdam and stayed 1 night at the AMS Airport Hilton. Convenient but a bit expensive, I used a Q3FN there for that one stay as well. I made the reservation in late December, and called the Diamond Desk and asked if a certain Q3FN was still valid, and they said yes and I made the rez accordingly. With all leisure trips (both of these were as such) I wait for everything to post to my accounts and then delete the records, so I went on about my business.

Now, for many reasons :rolleyes:, I have been spending the majority of my hotel nights with Hyatt and SPG this year and do not check my HH account as much as I used to. So today, I was double-checking my HH account to see if my stays from the HGI McAllen and HGI South Padre posted from last week, and my point balance was much lower than I expected it to be. Shocked and a bit scared, I checked my account activity, I saw that a Cat 6 40k point certificate was issued on 3/30/11 without my approval! :eek: I called the Diamond Desk immediately, and they informed me that this occurred because one of the Q3FN’s that I used at the Casa Marina was used again at the AMS Airport Hilton. I stated that I had called and confirmed that the cert was valid at the time of the reservation, and that I was a bit confused. The DD rep transferred me to a very polite supervisor who did about 30 minutes of research, and she confirmed that this was so and HH automatically issued the cert for 40k points on 3/30 to cover the one night in AMS. :rolleyes:

Was I upset? Well, I stayed 2 nights on the same cert and someone had to pay, so I understand the loss of points on my end. :o Should I have done a better job of bookkeeping with my certs/points? No…I do not think that I should be penalized for shoddy bookkeeping by HH Hotels (almost 90 days to redeem a certificate?) and told the supervisor as much. @:-) She agreed and gave me 5k points as a goodwill gesture, which was very nice and was appreciated. ^

However, I wanted to use this as an example for other HH members to be sure that your Q3FN or other certificate is valid and not previously used yourself, because HH properties can take their time to get reimbursed and they are not prompt with their actions. @:-) Three weeks after staying at the Casa Marina, they had not redeemed my Q3FN :rolleyes: and almost 3 months after staying at the AMS Airport Hilton they finally redeemed that cert :rolleyes::rolleyes::rolleyes: and, thus, the 40k cert issuance.

Also, I am ultimately upset that HH did all of this without emailing or calling me to inform me of the situation. :td: Not that I would have paid for these excessively expensive hotels in the first place, but I stayed there because, based on the information given to me by HH Diamond Desk, I had a free night. I would have considered and probably would have stayed at a cheaper property or hostel instead of using my points, as they are valuable and I was saving them for a weekend in Asia at the end of this year. :(

It was shoddy bookkeeping by the hotel, poor tracking by HH, shady points transferring by HH upon realization by them, and a frustrated customer in yours truly. YMMV.

i completely agree. HHONORS tracking of the Q3FNs is a disaster.

there's no way to track which ones were used electronically other than to compare the original email with the cert # to the award reservation.

sure would be nice if you could do this via the website <<hint hint>>

Interesting because each cert has a unique number. Once you redeem a cert unless you cancel the reservation the cert should show up in Hilton's system as used and you shouldn't get to use it twice. Interesting...

Knowing how HH IT (doesn't) work, I'm not the least bit surprised. I too earned several and decided to keep track myself. First I put a copy of the cert in a special Outlook file and removed them as used. Then I also noted the certs in my hotel spreadsheet to confirm which were still available and where used.

They do list the certs earned on the web site, but it would be nice to be able to tell which have been used and where. When I want a laugh, I'll ask which one is oldest unused. Seems they have to go through a lot of keystrokes to figure it out. That's the best way to get IT to change something, have their people complain something is not working. :)

Interesting. I earned 4 Q3FNs. I used them for 3 different reservations. When I made the second reservation, I asked the DD to use the one that would expire the soonest (I made the same request when I made the first res). She was able to see I had already used the oldest one. When I used my last 2, the agent was able to see which 2 were already used.
I also kept track of my certs too which was good because the agent wasn't able to locate my 4th Q3FN initially.

We had the very same discussion here before. The Q3 certificates are - like every HH certificate - good for use until it actually has been used. You do not need a certificate to get a reservation, so it is no problem to enter the same number on several reservation (I assume some of you like the idea, reserve a bunch of award rooms and cancel the ones you do not need on only one certificate). The flipside is obvious: You unfortunately need to track it yourself (which is, however, not that kind of a challenge).

I ended up losing 30k in points because the Q3FN certificate still has not been redeemed one year later and instead a category 4 redemption was done by the Hampton in Miami without my authorization. I have not used the remaining Q3FN certificate because after repeated phone calls I just plumb gave up trying to get it fixed. I'm out the 30K and callin' it a day...

I had 10 of them. Tracked them on a spreadsheet with the cert number. When I used them, I told the agent exactly which cert I want to use. Used 7 so far with no issues.

Is there some options to get free night?

Similar certificate issue... Called in several months ago to make a 2-night reservation using the 2 oldest certificates. When the confirmation e-mail arrived, an incorrect certificate had been used, so called in and they said it would be corrected and the stay occurred without issue. However, when I recently called in to use the remaining certificates, was told I am short by one. Turns out the correction did not remove the "used" designation from the certificate that should have been kept for later. The phone rep was able to verify the error when I supplied certificate numbers, but said it would have to go through an investigation process before the cert could be used. Am still waiting for resolution, and this thread is a good reminder that I should follow-up.

Great to see another member of the Hilton team on the site. I had a similar problem, but caught it prior to arrival. One night on the cert, one night with points at a Cat 7. Should have been two nights on certs. A little time with the Diamond desk and it was resolved. Common sense should prevail and you should hopefully get your points back. It is pretty obvious that you would rather use a free night cert that will expire rather then points that will not.

Weird that the DD can't see what certs are used. Every time I've used mine, they always tell me how many are remaining, and when they expire. They routinely tell me if cert was used when I try to book a reservation on it.

No! I have also some certs expiring soon without use. No chance! They will not extend it!

Just keep calling back. I was able to get them to reissue a certificate that had expired 4-5 days prior to me using it. It took a 45 minute phone call with some arm twisting, but it worked.

Not sure if they'd go for it if you have multiple expiring certs or if you were trying to use them at some $1,000/night hotel.
